According to a study by MIT Sloan Management Review and Capgemini Consulting, it’s a race to the best technology because those who fail to adapt could be driven out by the competition.This urgency is felt by HR leaders each and every day.

As HR leaders evaluate, select and implement new technology to streamline and improve processes, one area often gets overlooked: end-user employee adoption.


“It’s easy to fantasize about how technology will drive significant results for your company,” says Jayson Saba, VP of Strategy and Industry Relations at Ceridian, “but the fact of the matter is, if employees aren’t adopting the new tools and technology, it will take longer for companies to realize that value – utilization and ROI go hand-in-hand.”

5 ways to gain end-user technology acceptance

What can employers do when implementing a new technology to foster employee adoption? Below are some tips to close the engagement gap in end-user acceptance and get you well on your way to that return on investment.

  1. Be transparent and forthcoming in all tech decisions– When employees understand the motivations for making a change as well as the impact such a change can have, they’re more likely to be on board with the decision and look forward to the change. Be clear in explaining the “why” for implementing a new technology so employees understand the reasons behind new changes. 
  1. Lead by example – Leaders and decisions makers should model the behavior they want from the team. This helps build the kind of goodwill and engagement needed to get buy in from all levels of users. When leaders participate in training and show excitement for the new technology, that enthusiasm spreads to other employees as well. 
  1. Get employees excited – If users are excited about the new technology rather than begrudgingly letting go of processes they’ve used for 10, 20, or 30+ years, they’ll be more likely to embrace the required training. Make employees feel valued by bringing end users into the demo and get them participating during the evaluation phase. You can also build enthusiasm in other creative ways, such as by throwing a company-wide pizza party to celebrate the new technology. 
  1. Do not overlook training – According to the Brandon Hall group, this is the number one thing companies regret when implementing new technology. Inadequate training can delay time-to-value and decrease utilization because employees won’t know how to properly navigate the new technology, notes Saba.

CommunicationsDiscuss with your vendor their instructor-led training programs and train-the-trainer opportunities. Your training sessions need to be effective and applicable to the various needs of different groups. The last thing you want users to feel is that the training session was a waste of time. Consider setting up ongoing training opportunities as well. The key thing is to make it easy for users to get help any time they need it. 

  1. Build consistency into technology processes and promote ongoing communications – A technology platform that has a consistent look and feel enhances adoption and usability. In addition, promote ongoing usage through internal communications aimed at reminding employees of the value they’re adding to the organization by leveraging new tools and technology. Consider ways you can add your unique culture and organizational goals into these communications.
