Take these steps to ensure that your payroll RFP process is efficient and effective.

  • Keep the requirements team small and manageable, but make sure to include a representative sample of potential payroll system users.
  • Take the time to prioritize your payroll needs or requirements, or you will be forced to do so during the implementation phase.
  • Avoid short-term, isolated decisions.
  • Plan for future needs and expansion in payroll processing.
  • Identify specific payroll processing functionality that is critical to project success, regardless of price.
  • Understand all types of costs involved, not just software or hosted services costs.
  • Evaluate performance of finalists.
  • Pay attention to payroll vendor capabilities not included in your requirements; or lack of capabilities to address your needs.
  • Negotiate performance guarantees during RFP process.
  • Check references on payroll solution vendors and consult with similar types of business, or local businesses, about their payroll processing solutions.
  • Perform thorough background checks on payroll, HRO and HRIS vendors to ensure their long-term viability.
  • Pay attention to signs of obsolescence in vendor's payroll services, processes or service delivery model.
